Committee Description Roles

 

The three roles that must be filled are President, Treasurer and Secretary.

President’s Role

The President is the leader of the society, who coordinates and oversees all of the society’s activity. The President will need to provide support, advice and guidance to the other committee members throughout the academic year. Probably the most challenging role on the committee, you’ll need experience of what the society does, and a strong belief in the aims of the society.

Key Responsibilities

  1. Attend Society Officer Training and Society AGM
  2. Calling and chairing meetings making sure everything is covered and no-one dominates
  3. Delegating tasks – you shouldn’t do everything yourself!
  4. Understanding the broader picture keeping the aims of the society in mind at all times
  5. Being a spokesperson/figurehead and represent your society whenever you can
  6. Maintaining committee enthusiasm – if you’re not passionate, no-one else will be
  7. Read society emails

Secretary’s Role

The Secretary is the backbone of the organisation of any society and ensures that things run smoothly. Emails need to be written, rooms need to be booked, documents are filled out and above all you need to communicate what’s going on to your members so they stay interested and stay involved.

Key Responsibilities

  1. Attend Society Officer Training and Society AGM
  2. Tacking care of society admin - fill out all forms (see ‘Society Documents’) and return to Activities Officer
  3. Arrange meetings and book rooms or venues
  4. Creating an agenda and keeping minutes of meetings as necessary
  5. Communicate regularly with your members, let them know what’s going on
  6. Maintain up to date membership records
  7. Be aware of key dates for your society throughout the year
  8. Collect post weekly from your pigeon hole in the Activities Centre
  9. Read society emails
  10. Publicise your society
  11. Organise AGM (Annual General Meeting)

 

Treasurer

Treasurer Being a treasurer isn’t just about handling money, it means knowing how your finances stand at any one time; and planning accordingly.

Personal skills required

  • Well Organised
  • Numerical Competence
  • Communication (with society members trying to spend the money!)
  • Trustworthy

Key Responsibilities

  1. Attend Society Officer Training and Society AGM
  2. Learn and understand the Students’ Union financial system
  3. Apply for the annual grant and extra funding from the Union as necessary
  4. Keep track of all income/expenditure
  5. Keep the committee and members informed of the society’s financial situation
  6. Organise fundraising or sponsorship for your group
  7. Countersign every claims form

Optional Roles

Whilst a society can function with only a President, Secretary and Treasurer, this past year we had additional roles to try and make our society bigger and better. There can be as many optional roles in the committee as you want. Here are a few ideas;

Social Secretary

Socials are a great aspect of any society. Whether these are evenings out, a ball, weekends away, or just a meal at someone’s house, your members will get to know each other better and enjoy themselves more, teambuilding. The Social Sec should organise a wide range of socials. Reflecting the diverse nature of the student body will increase your membership and participation and everyone will feel able to get involved and make friends.

Key Responsibilities

  1. Organise socials
  2. Consideration and inclusion of all students.

 

Vice President

The President could struggle doing all work by themselves, so the Vice President is a key one to help share the workload and help in decision making processes.

Key Responsibilities

  1. Know everything the chair does and support them every step of the way
  2. Be impartial

Publicity Officer

Every society needs publicity - from ball tickets to hoodies. It’s a great way to recruit members, network with other societies, organise a huge and exciting event and generally create a buzz around your society.

Personal skills required

  • Creative
  • Good writing skills
  • Ability to navigate Facebook and Twitter
  • Understanding of websites

 

Key Responsibilities

  1. Keep online section on Union page up-to-date
  2. Update website (if you have one)
  3. Create and manage Facebook and Twitter
  4. Use Union digital screens and notice boards
  5. Advertise meetings and events
  6. Take photos for the website
