Terms & Conditions of Membership of all LSBSU groups including Clubs & Societies of the Union
1. Overview
1.1 It is necessary for you to be aware of, and agree to all of the below terms and conditions before your membership of any group of the Union can be made.
1.2 London South Bank Students’ Union is a charity set up for students and not for profit. We work to deliver a range of opportunities and services that we believe enhance your time at University and your student experience.
1.3 Many of these opportunities we offer free of charge, others are offered at a cost that is usually heavily subsidised.
1.4 Your membership to any group, club or society only remains valid whilst:

You are a London South Bank University Student, or SU associate membership status remains conferred upon you directly either as a group ie LSBU Staff or individual
AND
-
You remain an opted in member of the Students’ Union and agree to us holding, processing and sharing data on you.
1.5 By taking an additional membership to a London South Bank Students' Union group (including club and/or society), even when that membership is free, you agree to act in accordance with:

the LSBSU Constitution,

any additional constitution for your group as agreed by the Union, and
-
any and all other LSBSU policies
1.6 You also agree that whilst engaging with London South Bank Students’ Union, you are doing so as a Student/Alumni or Staff Member of London South Bank University, and alongside the rules and policies of the Students’ Union, the rules of our parent institution where appropriate still apply.
1.7 I understand that in the event of my Society/Club ceasing to operate for the period of 12 months, that the funds raised through membership will be transferred into a central fund to be used to benefit the greater student membership.
2. Cancelling your Membership
2.1 We offer all members a 14 day cooling off period on any membership that you pay for, where your membership can be cancelled, and any monies returned to you.
2.2 Your cooling-off period begins the day after you take out a membership. To cancel your membership you will need to visit the Students’ Union at 103 Borough Road London SE1 0AA bringing your Student ID so that we can arrange this for you.
3. Your Responsibilities as a Group Member
3.1 For all activities it undertakes the Union has appropriate insurance policies in place to protect you if things go wrong. Those policies are detailed below and you as a participant must be aware of your responsibilities to that end.
3.2 These include, but aren’t limited to:

Informing the groups committee/coach/trip organiser of any medical conditions or previous injuries that may affect your safe participation in any event organised by that specific group, club or society.

Ensuring you fully understand the exact nature of each activity you’re undertaking, the risks involved, skill levels required and the equipment needed for your safe participation.
3.3 Not participate in any activity where you’re unsure of any of the aspects mentioned in point 2.
3.4 Notify your next of kin of your desire to take part prior to engaging in the activity/event.
3.5 Provide a parental consent form if you are under 18 and have this countersigned by staff of the Union. Also, understand that you cannot participate competitively for a sports club under the age of 18.
3.6 Reporting any accident or near miss using the appropriate reporting mechanisms.
3.7 Flagging any issue, particularly ones of safety, that you feel uncomfortable with, to both the committee/coach/trip organiser at the point of spotting it and in the shortest time after to the central Students’ Union office via safety@lsbsu.org
3.8 You agree that LSBSU can make any lawful in-year changes to these terms and conditions and will regularly check www.lsbsu.org/termsandconditions/memberships for notifications of those changes.
4. Sharing of your Personal Data
4.1 You agree London South Bank Students’ Union may share your data in relation to your specific membership of a student group, club or society, with London South Bank University, in particular the department with responsibility for alumni relations, but with other departments as appropriate, and lawful.
4.2 You understand and agree, that as well as being shared with necessary LSBSU staff, necessary contact details will be shared with volunteer groups, clubs and society officials for the purpose of communicating with you, and facilitating your membership of that group.
4.3 You agree that LSBSU will, where legal and appropriate, need to share your details with other legal entities as appropriate, to facilitate your membership including but not limited to:

our insurance brokers/providers

national bodies such as British Universities & Colleges Sports (BUCS), National Union of Students
4.4 We will ensure that any party which we share your membership data with outside of LSBSU, has policies and practices that are inline with the General Data Protection Act 2018 and the EU’s General Data Protection Regulations.
4.5 You agree that London South Bank Students’ Union can share key details about you in the promotion of the group which you are a Member of and/or the Students’ Union or London South Bank University more widely. This may include but not limited to news stories, unless you specifically notify us otherwise in writing.
4.6 You also agree that any photographs / videos taken in relation to organised groups, clubs and societies activities may be used by the Students’ Union, or London South Bank University for its promotional material at our discretion. These materials may be used in printed and electronic form and may appear in different publications (including but not exclusively, websites, television and large scale exhibition panels) within the UK and overseas including countries outside the European Economic Area. (No photos of under 18s will be used without specific written parental consent for each instance).

5. Insurances Related to your Participation
5.1 The Union offers insurances related to your participation in groups, clubs and societies. Insurance is provided by Endsleigh through their Essential Policy cover, which is applicable while taking part in London South Bank University Students’ Union’s groups, clubs and society organised events, and in training/practice sessions; cover includes travelling to and from any of these activities.
5.2 Please note that it does NOT provide cover for private medical treatments, such as consultant fees, private x-rays or physiotherapy.
5.3 PLEASE READ THE BELOW INFORMATION CAREFULLY – it is recommended that you obtain additional personal medical accident insurance cover if you feel this is insufficient for your needs.
